Privacy Statement

Who We Are

HRM is the registered business name of HRM Recruitment Limited (hereinafter referred to as HRM) which is a company registered in Ireland, company number 181207. 

Our Website

HRM has designed its website to provide information to visitors about our business and services. At times we will collect non-Personally Identifiable Information about your visit and combine this with other information to collectively understand how all visitors use our site.  At other times we will collect personal information submitted by you, for example your email address and Curriculum Vitae (“CV”) details. This policy explains how we use these types of data.

Online Visitors (Aggregated Information)

Gathering information and statistics on all of our visitors to our websites enables us to understand what content visitors are consuming and what they are most interested in on the sites.  This data is analysed and used to improve our websites and deliver a better service to our visitors.  We collect hostnames and IP addresses of our visitors’ Internet Service Provider, but no Personally Identifiable Information (PII) is revealed to us or collected during this process.

Use of Cookies

A cookie is a token that a server gives to your browser when you access a website. Cookies are capable of storing many types of data. Cookies help us provide additional functionality to the site or help us analyse site usage more accurately. In all cases in which cookies are used, the cookie will not collect Personally Identifiable Information except with your explicit permission.

Use of your personal information

HRM may invite you to submit personal information about you through, for example, the “Upload CV” section on the website or the “Apply Now” section of a job posting.  The information provided to us will normally include, name, address, email address and other relevant information and may include personal information. This information is used by us to:

a) Provide our recruitment services to you, whether you are a client, candidate or a user of our website;

b) Enable you to submit your CV generally, to apply for specific jobs;

c) Provide information on suitable job opportunities to people who register with us, to match your profile with suitable job vacancies and to assist us in finding a position that is most suitable for you;

d) Answer your enquiry;

e) Provide other services related to or supplementary to the above; market products and services directly to you to your professional or business email address.

Where we have your consent, we will also use your information to:

a) Send your personal information to clients in order to apply for jobs;

b) Market products and services directly to your personal email address where opt-in applies

HRM lawfully processes personal data.  Under GDPR, HRM must have a lawful basis for processing all personal data.  The main grounds used by HRM are as follows:

  1. Legal obligation – for example, the payment of taxes, we will process personal data to facilitate this.

  2. Contractual – for example with temporary workers on client sites, we will process data to allow HRM to fulfil the requirement of the contract.

  3. Consent – where consent is provided by the data subject.

  4. Defence of legal claims – in limited scenarios we may use personal data in enforcing legal rights or in the defence of legal claims.

  5. Legitimate interest – this is on a case-by-case basis where HRM will have access the scenario and confirmed that there is a balance of interests.  Candidates may object to any processing undertaken on the grounds of legitimate interest.   

We process data using secure cloud applications. Our suppliers are based internationally and only use secure data centres and where the data is accessible outside the EU for the purpose of processing, analytics, development and testing, HRM ensures that suppliers are GDPR compliant.

HRM makes use of the following third-party software:

Bullhorn for applicant tracking.

Broadbean is for job distribution.

Dotmailer as an email platform.

Herefish as an email platform.

Microsoft Office 365 for email and office applications including Teams.

To provide you with an efficient service, your information may be shared by consultants working only within HRM. We will only hold your information for as long as is necessary to comply with our statutory and contractual obligations and in accordance with our legitimate interests as a data controller. We will use reasonable endeavours to ensure that your Personal Data is maintained and up to date. However, if you would prefer that your information is changed or permanently deleted then do inform us so that we can ensure that it is up to date or deleted accordingly.

Storage of Data

The personal information that you may provide to us (including sensitive information) may be provided to clients for the purposes of assessing your suitability as a candidate.

Other Sources of Data

We may also process information about you where it is available from public sources. For example, if you have a professional profile online, we may combine that type of information with the information you provide directly to us or in the case of clients what your organisation has provided us.  Other sources of personal data may include where individuals apply to a position advertised on a third-party website, from third party CV providers where individuals have made their CV data available and nominated referees.

By sending us your CV, you are indicating your consent for HRM to process your personal details in the manner described above.

Once you have sent us your CV, we will keep in touch by email to let you know about industry news, events and/or job alerts.  Should you decide you would prefer not to receive these updates, please use the unsubscribe link in the email.

Opting Out

Alternatively, you can contact us at any time at data@hrmrecruit.com and if you provide us with your email address and contact details, we can unsubscribe you from further contact.

Subject Access Request

You have the right to request a copy of the information we hold for you on our systems. Please note that we will not provide the following types of information in response to a data access request: Information about other people; Opinions given in confidence; Repeat requests or privileged information. Other types of information may also be exempt under data protection laws (e.g., data relating to the commission of offences or estimates of damages).

Changes To Our Policy

This Privacy Policy is subject to change, and we will notify visitors of a change in policy via a notice on our website. Continued use of the site or our services after changes are made will constitute your acceptance of the revised policy.
